1. Sourced

Definition: candidate added to your ATS via LinkedIn Recruiter, GitHub, referral, or inbound application. Targeted for a specific live role.

Exit criteria: outreach sent, response received.

2. Screen scheduled

Definition: a 20-30 minute initial screen is on the calendar. Candidate has confirmed availability.

Exit criteria: screen completed, candidate confirmed as a fit on paper.

3. Submitted to client

Definition: CV, candidate summary, and salary expectation sent to the hiring manager.

Exit criteria: client invites candidate to a first-round interview.

4. First-round interview

Definition: candidate is interviewing with the hiring manager or panel for the first time.

Exit criteria: client advances candidate.

5. Final round

Definition: candidate is in the final stage — often a panel, exec round, or work sample.

Exit criteria: verbal offer extended.

6. Offer extended

Definition: written offer in the candidate's hands. Comp, equity, start date specified.

Exit criteria: candidate accepts.

7. Placed

Definition: signed offer letter, start date confirmed, candidate begins on-boarding. Invoice triggered. Terminal stage.

End-to-end conversion (Sourced → Placed): typically 1-3%.
