Step by step

1. Export your contacts from Pipedrive

Open the Contacts section in Pipedrive and click the People tab. Click the three-dot menu (...) in the top-right corner and select Export. Choose CSV and wait for the file to download. Pipedrive includes all visible columns plus any custom fields.

2. Export your organizations

Still in the Contacts section, switch to the Organizations tab. Click ... and then Export. Save the CSV. This file contains company names, addresses, and any custom organization fields you have set up.

3. Export your deals

Navigate to the Deals section. Open the three-dot menu and choose Export. The export includes deal title, value, stage, expected close date, and associated person and organization references.

4. Upload to Tonic Desk

In Tonic Desk, go to Settings > Import. Upload your organizations CSV first so company records are in place, then upload contacts, then deals. Tonic Desk reads the headers, maps fields automatically, and shows you a preview before committing anything.

5. Review the results

Check a sample of imported records. Confirm that full names were split correctly, the right email and phone were extracted as primary, and organizations are linked to their contacts. Adjust any mismatches in the mapping screen.

What doesn't transfer (and workarounds)

  • Activities (notes, calls, meetings) — Pipedrive does not include activity history in its CSV export. Workaround: before you leave Pipedrive, export your activity log separately via the Pipedrive API or a third-party backup tool and store it as a reference.
  • Automation rules — Pipedrive's workflow automations are platform-specific. Workaround: document your active automations and recreate the critical ones in Tonic Desk's automation builder.
  • Web forms — Pipedrive web form definitions stay in Pipedrive. Workaround: set up new lead capture forms in Tonic Desk or connect your existing website forms via webhook.

Tips for a smooth switch

  • Pipedrive stores full names as a single field. Tonic Desk splits on the first space, so "Mary Jane Watson" becomes first_name: "Mary" and last_name: "Jane Watson." If that is not right for a few records, edit them after import — it is faster than fixing the CSV.
  • If contacts have multiple emails or phone numbers, Tonic Desk pulls the one Pipedrive marked as primary. Double-check a few records to make sure the right one came through.
  • Export organizations before people. When Tonic Desk imports your contacts and sees an organization name that already exists, it links them automatically.
  • If you have a large deal pipeline, filter your Pipedrive export to open deals only. You can always import closed or lost deals later as a separate batch.

Frequently asked questions

How does Tonic Desk handle Pipedrive's full-name field?
Tonic Desk splits the full name on the first space. Everything before the first space becomes the first name; everything after becomes the last name. For names with prefixes or multiple parts, you may need to adjust a few records manually after import.
What happens if a contact has multiple emails in Pipedrive?
Tonic Desk extracts the email marked as primary in Pipedrive. Secondary emails are not imported automatically, but you can add them as custom fields or update records after the import.
Can I bring over my Pipedrive deal stages?
Yes. Deal stages are imported as-is. If your Pipedrive pipeline uses custom stage names, create matching stages in Tonic Desk before importing so they map correctly.
Is there a size limit on the CSV export from Pipedrive?
Pipedrive does not impose a hard row limit on CSV exports, but very large files (100,000+ rows) can be slow to generate. If the export times out, filter by creation date and export in batches.
